Position Summary

The Office Assistant / Attendance Clerk Assistant supports the daily operations of the front office and ensures accurate student attendance records. This position serves as one of the first points of contact for students, families, staff, and visitors while providing clerical, organizational, and attendance-related support to promote efficient school operations.

Essential Duties and Responsibilities

Front Office Support

  • Greet students, families, staff, and visitors in a professional and welcoming manner.
  • Answer and direct incoming phone calls, emails, and front desk inquiries.
  • Provide general clerical support including filing, copying, scanning, and data entry.
  • Assist with distributing mail, messages, and school correspondence.
  • Maintain confidentiality of student and staff information.
  • Support student check-in/check-out procedures.

Attendance Responsibilities

  • Assist with daily attendance tracking and verification.
  • Enter attendance data into the student information system accurately and in a timely manner.
  • Contact families regarding student absences, tardies, and attendance concerns.
  • Prepare attendance reports for administrators, counselors, and staff as requested.
  • Maintain attendance documentation, excuse notes, and related records.
  • Support compliance with district, state, and school attendance requirements.

Administrative Support

  • Assist with enrollment, records requests, and student cumulative files.
  • Support scheduling of meetings and appointments.
  • Help prepare materials for school events, meetings, and parent communications.
  • Provide additional office support as assigned by administration.

Qualifications

  • High school diploma or GED required; associate degree preferred.
  • Previous school office, clerical, or attendance experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, Google Workspace, and student information systems; experience with Synergy preferred.
  • Ability to maintain professionalism and confidentiality.
  • Strong customer service and interpersonal skills.

Preferred Skills

  • Experience working in a school setting.
  • Knowledge of attendance laws, policies, and reporting procedures.
  • Bilingual in English and Spanish preferred.
  • Ability to work effectively with students, families, and staff.

Work Environment

  • School office setting.
  • Frequent interaction with students, staff, and families.
  • May require extended periods of sitting, computer use, and occasional lifting of office materials.

  • Full-time, school-year position
  • Salary based on experience and school salary schedule
